Common FAQs

After I place my order what do I do?

To access the ordered assessment, log in and navigate to the Manage Orders section. Click on the Task List button next to the order, which will take you to the Manage Survey screen. Here, you will find all the necessary setup tasks that need to be completed.

 



 

Can participants who have completed the survey go back in to change their answers?

Administrators have the ability to allow participants who have already completed the survey to re-enter and make changes by using the Manage Participants page. By clicking the Manage button next to the participant's name and selecting Reopen participant, you can resend the link or they can access the survey through their original invitation email link.




 

Do you maintain participant anonymity?

Yes, we guarantee complete anonymity as a third party administering the survey. You will be able to see who has responded to the survey and who hasn't, but you won't be able to determine how each participant answered each question. You will only receive aggregate data, unless a custom consent statement has been arranged. You may view participant consent statement from Manage Survey on the Welcome Consent Page.

 

Can participants who “opt out” still complete the survey?

Yes. Participants who have chosen to opt-out of the survey will still remain on the participant list and can access the survey using their original link. However, they will not receive any reminders. If a participant requests another link, an administrator can resend it to them through the Manage Participants page. Simply click on the Manage button next to the participant's name and then select the Undo Opt-Out button.

 

When I use "Choose Random Participant" to select an incentive winner, can they be selected again? 

Participants who have already been selected as incentive winners can be chosen again unless you mark them as having received the incentive on the Manage Participants page. For more detailed information, refer to the Choose Random Participant article.

 

Can participants get to the survey from your website?

No. They must be sent a specific link to allow access to the survey.

 

Can I send a survey invitation to myself?

If you want to complete the survey, please note that your responses will be included in the final results. However, you have the option to remove yourself from the participant list and delete your responses afterwards. If you simply want to test the email delivery, you can send yourself a test message from the Review Email Deliverability page. Please note, this test survey link will not work.

When I add a participant after launch, when will they get their invitation?

You have the option to choose the date when the invitation email is sent to participants, whether it is sent immediately or on a specific date. The reminder emails for participants who join after the survey has launched will be sent at the same interval as the reminders for participants who joined before the launch. For more information, please refer to the "Add a Participant" article.

 

Can participants forward their survey invitation link to others?

Participants are not able to forward their survey invitation link to others. The system generates a unique link for each participant, and the invitation and reminder emails clearly state that the link is unique and should not be forwarded.

 
 

How long after the survey has ended can I access the system?

You can view the reports on the View Reports tab for a period of 18 months. The Manage Survey tab will be accessible until it is archived, which typically occurs at the end of the academic cycle.

When does the survey actually launch?

The survey will be activated at approximately 1:00 am (CST) on the designated Launch Date. At this time, all invitation emails will be sent out to participants. Reminders are also sent at 1:00 am (CST).
 

What time does the survey close on the “End Date”? 

The survey will close at 11:59pm CST on the End Date. Participants will no longer be able to complete the survey after midnight CST on this date. If needed, you can change the end date by selecting a new date from the calendar icon. Please note that the specific end date may vary depending on the product. When can we expect results?

Once 10 people have responded to the survey, you will be able to access real-time reports through the View Reports option on the Manage Survey screen. If you would like to know when you can expect the final comparative report, which includes the select 6, Carnegie class, and longitudinal data, please contact our support team for the final report delivery schedule for your specific assessment. 

Can we receive our raw data?

You have the option to download your data from the Benchworks Portal. To do this, go to the View Reports section and navigate to About this Assessment. From there, select Export Responses and click on Download Responses. Before downloading, make sure to check the checkbox indicating that you agree to the conditions. Finally, click on the Download Data button to initiate the download process. The data will be downloaded in Excel. 

What comparative data is provided? 

Types of comparative data:

  • Comparison with six institutions of your choice Select 6 (External Benchmark Comparison)
  • Comparison with other institutions in your Carnegie Classification is provided as part of the External Benchmark Comparison. This allows you to see how your survey results compare to similar institutions in terms of various factors.
  • Comparison with all institutions that are participating in the survey is provided as part of the External Benchmark Comparison. This allows you to compare your survey results to a wide range of institutions and see how you measure up in various areas.
  • If you have participated in the survey for over a year, you will have the option to compare your responses to previous years' results through an internal longitudinal comparison called "Longitudinal Changes".
  • Accreditation and standards, if they are applicable to your assessment, are taken into consideration as part of the reports.

When do I choose my Select 6?

You do not need to select your Select 6 institutions when placing your order. Once enrollment is closed and the full list is ready, we will send an email to the main order contact with the details. If you would like to know the exact month for your assessment, please contact your sales rep or Support.
