How to Enter Invitation and Reminder Email Content

This article explains how to enter the Invitation and Reminder email content.

The Invitation Email refers to the text of the email that will be sent to the survey participants automatically at 1am CST on the Launch Date. Reminder Email 1, Reminder Email 2 and Last Chance Reminder Email are also sent to the survey participants automatically at 1am CST on the date intervals set by the administrator. 




From the Manage Survey tab, click on Invitation Email.

 

 

  • Fill out the "Reply-To'' Email Address (i.e. email@domain.com). If any student replies to the email, their reply will be sent to the Reply-To Email Address.
  • The "From" Email Name (i.e. John Doe) is the name the email will appear to come from. All email comes from our servers and email address. Please see the help article Email Deliverability Information for more information.
  • Fill out the Email Subject Line.
  • For the Email Body Text, if you have ordered before, you may use the Load from previous order drop-down. If you have not ordered before you may use the Load Sample Text button to load general Email Body Text. When entering the email body text we recommend that you use both the top and bottom sections. Typically the bulk of the e-mail will be in the top section, and the bottom section is used for your signature. The survey link is automatically inserted for you between the two sections of text.


When you are finished composing the email, click the Preview Email button. 


Click Edit This Email or Save this Email. Once the email is saved, you are returned to the main menu and that task will be automatically checked and completed. You can edit your email at any time prior to launch.



Reminder emails are set up using the same process. Our system will automatically copy the text that was entered for the Invitation Email to the reminders. The only difference is that you select the number of days after the previous email was sent that you want the Reminder Email to be sent.
 


The Last Chance Reminder is also set up using the same process. The only difference is that you select the number of days before the survey closes that you want the Last Chance Email to be sent. Once the email is saved you will be returned to the Setup Task list and the item will be checked as complete.
 

Previously, you could only edit the Invitation Email and Reminder Email prior to launch. Now, you can edit them both even if the survey is launched.
